Active Minds Holiday Club – Parent Privacy & Terms Agreement

By booking a session with Active Minds Holiday Club, you acknowledge and agree to the following Privacy Policy and Parent Terms:

1. Privacy Policy

Active Minds Holiday Club collects personal information about you and your child—such as names, contact details, medical information, emergency contacts, and booking history—to ensure safe session delivery and effective communication.

All information is stored securely and accessed only by authorised active minds club staff. We do not share your information with outside parties unless required for safeguarding reasons, emergency situations, or legal obligations.

You may request access to your data, request corrections, or ask for deletion at any time by contacting active minds directly.

By submitting your information, you consent to its use in accordance with this privacy policy.

2. Attendance & Punctuality

Parents/guardians agree to ensure their child arrives and is collected on time.

Any late arrivals, early pick-ups, or absences must be communicated to active minds club as soon as possible.

3. Behavior & Participation

Active minds club promotes a positive and safe environment. Children are expected to:

Behave respectfully toward staff and other participants

Follow all safety instructions

Participate to the best of their ability

If behavior puts others at risk, disrupts the session, or breaches safeguarding rules, Active minds club may contact parents and may withdraw the child from the session if necessary.

4. Health & Medical Information

Parents must provide accurate medical and health details, including allergies, medication, additional needs, or any conditions that may affect participation.

Any changes in health must be reported immediately.

If a child becomes unwell during a session, they must be collected promptly.

In emergencies, parents give consent for staff to act in the child's best interest while emergency services or parents are contacted.

5. Safeguarding & Collection

For your child’s safety:

Children will only be released to the adults authorised on the booking.

Staff may request identification if the collecting adult is not recognised.

Any safeguarding concerns will be handled in line with Active minds club safeguarding procedures.

6. Personal Belongings

Active minds club is not responsible for lost or damaged personal items unless clear staff negligence is proven.

Children should bring only essential items.

7. Payments & Cancellations

All fees must be paid as outlined at the time of booking.

Refunds, cancellations, or session changes follow the Active Minds Club policy provided on the booking platform.

8. Communication

Parents agree to check email, phone, or booking notifications for updates, changes, or urgent messages from Active minds club 

By completing a booking with active minds club, you confirm that you have read, understood, and agreed to this Privacy Policy and Parent Terms Agreement.
